Once you have applied for certified copies of adoption certificates and you have received them with an error or omission, you are required to return all of them to the office for correction.
Internal verification is done from the Adoption Order that was sent from the Family Court. If the error was made by the RGD, the error would be corrected and replacement certificates produced at no additional cost.
If the error is on the Adoption Order from the Family Court, the customer is advised to take their copy of the Adoption Order to the Court that issued it and speak to the Adoption Officer or the Clerk of the Court, stating the nature of the error.
The nature of the error can be in respect of any of the information on the Order including;
· Child's name and gender incorrectly spelt
· Child's date of birth/ country of birth
· Adopted parent(s) name or their address
· Adopted parent(s) occupation
· Date of court hearing or where the hearing was held
After careful investigation the Clerk of the Court will issue an Amended Order for the customer to take to the RGD for the correction to be done. The Amended Order must be signed by the judge giving the RGD the permission to process the correction. Each new Amended Order supersedes the previous Adoption Order.
The RGD then makes the correction to the Adoption Register. The correction is written on the bottom of the Adoption Register in red ink and is then signed by the Registrar General and Deputy Keeper of the Records.
The customer will then need to submit a new application to the RGD for new certified copies. These will reflect the latest entries in the Adoption Register which was amended by the authority of the Court Order.
